Easter Egg Hunt Instructions – Standard Operating Procedures (SOP)

Announcements for the Easter Egg Hunt, to the LOTW community via the website AND the unofficial FB page should be made at least 30 days prior to the event.  And again, two weeks before and the week before the event.

Contract the Treasurer for information on how to purchase the baskets, using funds from our budget for this event – it may be in the form of a check or you may use the LOTW credit card.

There are two age groups allowed in the Egg Hunt so that the younger children have a greater chance of finding some eggs:
            Age 1 to 5 years old
            Age 6 to 12 years old
The number of Easter Egg Prize Baskets purchased,may increase or decrease depending on the number of children we have living in the neighborhood.  Currently (2024) we have many children.

What to purchase for the Hunt:
400 to 500 hundred plastic eggs
Candy enough to put two pieces in each plastic egg
or buy the pre-filled plastic eggs

20 Gold or other unique Color eggs should be purchased as the Prize Eggs
for children to turn in for an Easter Basket.  ONLY ONE basket per
family/lot/address

10 Easter Baskets for Age group 1 to 5
10 Easter Baskets for Age group 6 to 12
All baskets should be a mix of candy and small items,
if possible, suitable for either girls or boys.

Baskets can be purchased or made up by volunteers,
we have done this both ways.

All receipts for the purchasing of Easter Baskets must be provided to the Treasurer within a week of the event.

Easter Egg Hunt sign in starts at Noon.  All children must have an Adult with them who lives in the community.  A list of current residents with addresses will be provided for the sign in. 

When a child or children are signed in, they must provide the address of the home of the community member they are there with.  ONLY children from our community or with friends/family who live in our community may take part in the Easter Egg Hunt.

Sign in sheet is a separate document and needs to be retained for reporting back to the community on who won the baskets, and how many children were involved.

The Hunt should start in two waves at 12:15 pm.  First group to start it the Age 1 to 5 with a five to ten  minutes ahead start. 

Generally the event is over by 2pm with most of the eggs being found and prize eggs turned in for Easter Baskets.

Within a week of the event, a list of winners should be posted to our website and Unofficial FB page.
